Set up the ai assistant from a preset
An Admin follows the guided setup: picks a use-case preset and a strictness, adds sources, tests, sets budgets, reviews the go-live checklist and starts in Copilot mode or on one channel in Auto Reply.
When this happens: The Admin enables the AI Assistant for the first time, or opens Admin — AI Assistant — Setup.
Step by step
- 1
Turns the AI Assistant on; the Setup tab opens with the guided setup.
- 2
Step 1 - picks a use case, for example E-commerce support.
- 3
Step 2 - picks a strictness:
Cautious,BalancedorHelpful.EasyCRM shows the preview: the persona, tone and instructions, the forbidden topics, handover rules and keywords, the texts per language, and the suggested FAQ questions that will be added, and any existing values that would be replaced.
- 4
Confirm.
Copies the values: rules, topics, categories and keywords are added to the existing ones, texts are overwritten only for the parts the Admin ticked, FAQ questions become empty
Faqsource drafts, the strictness setsStrictnessandAnswerBeyondSources, the test set is saved as sandbox cases. AuditsAiPresetApplied(preset, version, fields changed). - 5
Step 3 - uploads documents or answers the suggested FAQ questions.
- 6
Step 4 - runs the preset's test set in the sandbox.
Grades each case with the decision judge, shows the pass rate and each failed case; the run is
Testing-pool usage. - 7
Step 5 - sets the budgets (UC-28.34, UC-28.35).
- 8
Step 6 - reviews the go-live checklist: an indexed source; test pass rate of at least 80 %; no source content awaiting approval; a fallback text for every language the enabled channels use; an Auto Reply budget set; AI enabled on one channel first.
- 9
Starts in Copilot mode (recommended).

Other paths
Start in auto reply on one channel
If chooses Auto Reply and picks one channel. If checklist items are not passed, shows them as a warning and asks for confirmation; it never blocks. After confirmation sets AutoReply and enables only that channel.
Apply a preset later — add or replace
Open Setup on a configured company and picks a preset. The preview marks what is added and what is replaced. Keeps add (default): rules, topics, categories and keywords are added, duplicates skipped. Or chooses replace, which removes the existing ones of that kind first. Ticks the texts to overwrite. Applies it and audits AiPresetApplied. A newer version of an already applied preset is offered for preview; nothing changes unless applied.
Skip or resume a step
Skips a step or closes the wizard. Remembers the last step reached; the checklist remains reachable from the Setup tab. A step the Admin lacks the permission for is skipped and shown in the progress list.
If something goes wrong
Plan without the ai assistant feature
When the plan does not include EasyCrm.Ai.Assistant, the Setup tab shows The AI Assistant is not part of your plan; presets and the wizard are unavailable and nothing is changed.
Usage limit reached during setup
A test run refused because a limit covering Testing is reached shows EasyCrm:Ai:UsageLimitReached with the reset time; the Admin continues with the other steps.
Good to know
- Applying a preset copies values; no link remains, and a later version never changes a company's settings.
- Rules, topics, categories and keywords are added by default, with an option to replace; texts are overwritten only when confirmed.
- The go-live checklist warns and never blocks.
- Starting in Copilot mode is recommended.
- Generating instructions or FAQ answers from the company's documents is out of scope.
