View ai usage and spend

An Admin reviews what the AI has cost the company this month and in previous months, by pool, channel, operator and tier, and how much remains; an operator sees their own Copilot usage and what remains.

When this happens: Admin opens Admin — AI Assistant — Usage & budgets; an operator opens the Inbox composer.

Step by step

    Open Admin — AI Assistant — Usage & budgets.

    EasyCRM shows the current month to date: total price in USD, price per pool (Auto Reply, Copilot, Knowledge, Testing), and the remaining amount at each layer that has a limit (plan cap, company total, Auto Reply budget).

    Open the breakdown by channel connection.

    Lists each connection's Auto Reply price and, where a cap is set, its remaining amount.

    Switches the breakdown to operators, then to tiers.

    Lists each operator's Copilot price against their budget, and the price per tier. EasyCRM shows about N AI conversations at your current average for the remaining Auto Reply amount, once the month has at least five AI-handled conversations.

    Export the month as CSV.

    EasyCRM returns the CSV with prices per day, pool, channel, operator and tier. It contains no provider cost or commission.

Pick an earlier month. EasyCRM shows that month's totals and breakdowns; remaining amounts are not shown for a closed month.

Operator views their own usage

Open a conversation in the Inbox. The composer shows the operator's Copilot price this month and what remains of their budget. An operator with no budget of their own sees no amount. Another operator's usage and the company totals are never shown.

If something goes wrong

No usage yet

For a month without usage shows zeros and No AI usage in this month; the CSV has headers only.

Good to know

  • All amounts are USD prices including commission; provider cost and commission are never shown to the company.
  • The month is the calendar month in the company time zone and resets on the 1st.
  • An operator sees only their own Copilot usage.
  • Usage entries are append-only and retained for at least 24 months.
