Export or erase a customer's call data
When a customer asks for their data, the Admin exports the customer's call records and recordings, or erases them, through the standard GDPR tools.
When this happens: Admin starts a GDPR export or erasure for Maria Popescu.
Step by step
- 1
Open Maria Popescu's contact and chooses Export personal data.
EasyCRM builds the package including her call records (times, numbers, direction, state, durations, outcome, notes) and the recording and voicemail files.
- 2
Downloads the package.
- 3
Later chooses Erase personal data and confirms.
Deletes the customer's recordings, voicemails and call notes, replaces the customer's number on her calls and their activities with the anonymized marker, removes her
Phoneidentities and any blocked-number entry for her own numbers (those she was seen on and no other live contact carries), and audits the erasure.
Other paths
Contact has unlinked calls
Calls not linked to the contact are not part of her export; the Admin links them first when they are known to be hers.
Calls statistics remain
Call counts and times in reports remain; they no longer identify her.
If something goes wrong
Recording missing
A recording was already deleted by retention or failed to download. The package lists the call with a note Recording not available.
Large package
The recordings make the package large. The export runs as a background job and the Admin is notified when it is ready.
Erasure partially fails
A file cannot be removed. The erasure is reported incomplete, with the item, and can be retried; nothing is marked complete.
Permission missing
Without the GDPR permissions the actions are not offered. The Platform Operator cannot reach the company's calls.
Good to know
- The export includes call records and the recording and voicemail files of the customer.
- Erasure deletes recordings, voicemails and notes, anonymizes the number on the customer's calls, and removes their
Phoneidentities and blocked-number entries. - The Platform Operator never reaches calls or recordings; all voice permissions are company-side.
- Times in the export are UTC.
