Connect a company email address
The Owner connects a company mailbox — Gmail/Google Workspace, Outlook/Microsoft 365, or another IMAP/SMTP-compatible service — as a channel connection, so its traffic becomes conversations in the shared Inbox.
When this happens: Owner opens Admin — Channels — Email — Connect Mailbox.
Step by step
- 1
Open
/admin/channels/emailand clicks Connect Mailbox.EasyCRM shows the options: *Gmail / Google Workspace*, *Outlook / Microsoft 365*, *Other (IMAP/SMTP)*.
- 2
Select Gmail / Google Workspace.
EasyCRM takes you to Google's OAuth 2.0 + PKCE consent screen requesting
gmail.readonly,gmail.send,gmail.labels, using the tenant's configured OAuth client. - 3
Signs in as *
[email protected]* and grants consent.Exchanges the code for tokens, confirms the address isn't already connected personally or as another mailbox, encrypts the tokens and creates the
ChannelConnection. Enqueues the initial 30-day backfill and displays Connected as `[email protected]`. Syncing…. EasyCRM records audit entryChannelConnectionCreated.
Other paths
Connect via outlook or microsoft 365
At step 3 selects Outlook / Microsoft 365. EasyCRM runs the equivalent OAuth 2.0 + PKCE flow against Microsoft Graph, requesting Mail.Read, Mail.Send, Mail.ReadWrite.
Connect via imap/smtp
At step 3 selects Other (IMAP/SMTP) and enters host, port, TLS mode, username and an app-specific password (or an OAuth token where the provider's IMAP/SMTP endpoint accepts it). Tests both the IMAP and SMTP legs before saving; on success, creates the ChannelConnection as in the Main Flow.
If something goes wrong
Address already connected elsewhere
At step 6 the address is already a your personal mailbox connection (FR-09). Rejects with EasyCrm:Email:AddressAlreadyPersonallyConnected and tells the Owner to disconnect it there first.
Consent denied
EasyCRM returns access_denied at step 5. No connection is created; the Owner may retry.
Imap/smtp test fails
At either leg fails to authenticate. EasyCRM shows the provider's error inline; nothing is saved.
Good to know
- Gmail/Outlook connections reuse the tenant's existing OAuth client credentials — no separate app registration.
- An address cannot be connected as a company mailbox while it is a personal mailbox connection, or vice versa.
- A company may connect several mailboxes; each is an independent connection.
- The no-reply, auto-reply and bulk-mail inbox rules are pre-selected at connection; the Admin can untick them before saving.
